SMTP or Simple Mail Transfer Protocol could be understood as a set of communication guidelines that allow the software to transmit an electronic mail over the Internet.

An SMTP server will have an email address set by the mail client or application. Generally, the SMTP email server address can be found in your mail client’s account or settings section.

But recently, many users have had trouble connecting their email accounts through the SMTP method. While trying to do so, they have encountered an SMTP authentication error.

What is the use of SMTP authentication?

Using an SMTP client, users can log in using any authentication mechanism supported by the server. Mainly, submission servers use this as authentication is mandatory to access the data.

SMTP authentication is a method by which ISP users identify themselves to the email server to send the mail. No person can send email via any mail server they choose; mail servers will only allow the sending of email by authorized users.

Do I need SMTP authentication?

Nowadays, privacy is a primary concern people consider. Everyone using an email server aims to stay anonymous, and SMTP authentication does that.

If you don’t use SMTP authentication, it’s possible that a potential hacker can spoof you. They can access your email server, send unauthorized sales emails, and request personal information from the recipient for identity theft.

How do I authenticate my SMTP server?

  1. Open Gmail, click on the Gear icon at the top, and select All Settings.
  2. Navigate to Accounts & Import and click on Add another email address.

  3. Enter your name and the email address and uncheck the option Treat as an alias.

  4. In the next screen, enter the SMTP server included in your AuthSMTP confirmation email, Enter your AuthSMTP username and password, Check Secured connection using TLS, and click on Add Account.

  5. You’ll now receive an email with a confirmation code. Enter the code and click on Verify.

  6. And it’s done! You’ve now successfully authenticated your SMTP server. The new sender account is listed under the Send mail section.

How do I fix SMTP authentication error?

1. Check your email credentials

Some PC issues are hard to tackle, especially when it comes to missing or corrupted system files and repositories of your Windows.
Be sure to use a dedicated tool, such as Fortect, which will scan and replace your broken files with their fresh versions from its repository.

The SMTP authentication error 535 can occur if the user has entered the wrong login credentials on their email service providers portal. Usually, people use the same username and password as their email address to log in to their email server.

But some SMTP servers ask for a different set of credentials than the email account. To resolve this, enter the correct login credentials or try resetting your password.

2. Check if your account is disabled

Issues like spamming and payment dues can sometimes disable your account. A disabled account could be the reason why an SMTP authentication error occurs.

As a result, you should verify the status of your account to confirm if it is active. If you encounter any problems, please contact your server support staff.

3. Check if the SMTP connection is disabled by your email service provider

This can happen very rarely but sometimes service providers can disable the SMTP connection due to some errors in the server. In this case, try reaching out to your email service provider to re-enable SMTP authentication.

On what platforms can the SMTP authentication error occur and how to fix them?

Below is a list of all the platforms where the SMTP authentication error scan to email occurs and methods to fix them:

  • SMTP authentication error in Office 365: Uncheck SMTP Authentication in Office 365 and then re-enable it. Allow 10 minutes for the adjustments to take effect.
  • SMTP authentication error in Outlook: The most probable cause is an improper SMTP configuration. Hence, in most cases checking the configuration can fix this issue.
  • SMTP authentication error in Gmail: This issue can occur when connecting a mailbox for incoming mail or sending outgoing mail using external SMTP. Check if you have typed the proper password and if you’ve activated two-factor authentication.
  • SMTP authentication error in Python: Google prevents sign-in attempts from applications that do not adhere to contemporary security requirements. Consider signing in through your browser and try running your code again if you are able to access your account.
  • SMTP authentication error in Canon printer: This might occur if the account you’re using to connect to the SMTP server lacks the authorization to send as the email address entered as the sender.
  • SMTP authentication error in Jotform: Check that your Office 365 account has SMTP enabled. You may confirm this with your service provider or use a check tool to ensure that the SMTP is functioning properly.

At Bobcares, we often get requests from customers to fix SMTP errors as part of our Technical Support Services.

Today, we’ll see how our Support Engineers help our customers to resolve such tough email errors.

What is SMTP Authentication?

Mail client like Outlook uses SMTP (Simple Mail Transfer Protocol) to send messages. Later, to download the mails E-mail clients use either POP or IMAP protocol.

But, for any reason, if the authentication fails, mail client like Outlook generates an appropriate error message.

“SMTP Error (535): Authentication failed” error is usually related to the bad user email settings in Microsoft Outlook.

That’s why, Email client configuration always need special attention. Now, let’s see the reasons behind this error and how our Support Engineers correct it for customers.

Causes For the “Error 535: Authentication failed”

From our experience in managing servers, we often see customers experiencing Auth error 535 due to the following reasons:

1. Incorrect Username and Password

When the username and password entered in the Email client are incorrect, it ends up in Error 535. Again, using the wrong the mail server can also cause authentication failures.

Usually, such mismatch in email login and password will be recorded in the mail server logs. This helps greatly in finding the exact email account with problems.

2. Account Disabled

Similarly, at times account can be disabled because of reasons like payment dues or spamming issue. This will also result in SMTP Error (535): Authentication failed.

So, it’s worth to login to the control panel and check the status of the customer account as well as the email account.

3. SMTP Authentication

If your email client do not have SMTP authentication turned ON, it can also result in error. Now, we’ll check on how to enable SMTP Authentication in the server side and client side.

How to configure SMTP Authentication in a Mail client

Turning OFF SMTP Authentication in the email client, show up errors such as: “Server says: SMTP Error (535): Authentication failed: Authentication failure.”

Luckily, configuring SMTP authentication is simple procedure. It involves modifying the SMTP configuration settings and making necessary changes.

For example, to turn ON SMTP Authentication in Mozilla Thunderbird,

  1. Open Thunderbird, go to Tools -> Account Settings -> Outgoing Server (SMTP)
  2. Select the outgoing server by clicking on it, then click the Edit button
  3. Under Security and Authentication, check the “username and password” option
  4. Fill in your email account username and click Ok.

Finally, configuration will show up as below.

Enable SMTP auth in the server

We already saw how to turn on SMTP Auth in email client. But, for this to work, the mail server should support SMTP Authentication. Let’s see how our Dedicated Engineers enable this for our customers.

SMTP Auth in Plesk server

SMTP connections on a Plesk server typically need authentication. Recently, one of our customers requested us to fix the “SMTP Error (535): Authentication failed”. Here, the server was not having SMTP auth turned ON. Therefore, our Support Engineers solved the issue by enabling “SMTP authentication” from his Plesk server.

The exact sequence of steps that we did were:

  1. We logged into Plesk
  2. We checked the SMTP authorization status under Tools & Settings > Mail Server Settings > Relay options.
  3. Finally, we ensured correct settings in Tools & Settings > Mail Server Settings > Enable SMTP service on port 587 on all IP addresses.

Enable SMTP Authentication In cPanel

Let’s have look on the steps to enable SMTP auth in cPanel server. SMTP authentication in cPanel allow sending messages via POP-before-SMTP. Here, once when the Outlook download the mails, there is no need to re-authenticate to send mails through SMTP.

Usually, SMTP authentication will be disabled in WHM by default. To enable SMTP Authentication , we go to WHM >> Service Configuration >> Service Manager and select the Antirelayd checkbox.

Piping in late on a two-year-old closed thread, but since I have also encountered the same error, I’d like just to add my .02 …

Under PHP 7.4/Roundcube 1.4.3, ‘clearing’ those variables really means:

$config['smtp_user'] = '';
$config['smtp_pass'] = '';

Setting them to null will not work.

Under Ubuntu 20.04, Roundcube will be installed with at least a defaults.inc.php which gets loaded before config.inc.php (as it should be). So, skipping those two settings will not work, since defaults.inc.php has the following settings:

$config['smtp_user'] = '%u';
$config['smtp_pass'] = '%p';

So these two configuration variables must be explicitly overwritten in config.inc.php with the empty string '', or else SMTP will refuse to authenticate.

Of course, some Roundcube configurations may be even more convoluted and include several other configuration files beyond these. Actually, I had a few of those around, which I thought weren’t being included, but, to be on the safe side, I backed them up and deleted them — just keeping defaults.inc.php around, since it’s expectable that it will be overwritten with sensible defaults when Roundcube 1.4.4 ships. In other words, if the only configuration file you have is defaults.inc.php, do not touch it, but keep it intact, and just override what you wish/need on config.inc.php. I believe that at least those two are guaranteed to work, but it’s possible that some configurations only ship with defaults.inc.php (and you need to add your own config.inc.php) or possible just config.inc.php, filled in with all possible configuration values, which you may change — until the next Roundcube version comes around and wipes it clean…

An extra 👍 on the request for documenting this properly! After all, it might just require an extra comment line on defaults.inc.php… as @johnnyutahh so well mentioned, there are at least 3 ways to interpret ‘clearing’, according to context (i.e. each configuration variable may be ‘cleared’ differently…).

So, say you find yourself, somehow having the following error in the roundcube logs:

You have tried everything, but still can’t seem to be able to send email from roundcube, you keep getting this annoying “SMTP (250) authentication failed” notification, every time you click “Send”.

Well… Make sure that your server is connecting to the right place. It took me a while to realize that roundcube was trying to connect to localhost, but somehow the authentication mechanism stopped working (it was before upgrading).

Since I don’t really want to debug too much today (it’s friday after all), and because my configuration/use case is over ssl/tls, the solution to the probem was simply:

$config['smtp_server'] = 'tls://services.host.co';

Et voilà, ma chérie!

When I try to send a letter from Roundcube I get the following error:

Authentication failure: SMTP server does not support authentication (Code: ))

This can happen if Postfix doesn’t allow authentication from a localhost where Roundcube resides or if authentication scheme is wrong.

Update the /etc/postfix/main.cf :

Specify “mynetworks_style = host” when Postfix should “trust” localhost.

Next, in Roundcube’s settings (default.inc.cfg) make sure you specified correct authentication scheme. In my case it’s STARTTLS. As description states:

// Enter hostname with prefix ssl:// to use Implicit TLS, or use prefix tls:// to use STARTTLS.

So I added “tls://” in front of FQDN of my SMTP server:

$config[‘smtp_server’] = ‘tls://mail.example.com’;

And that fixed Authentication failure: SMTP server does not support authentication (Code: )) error.

After that I had to fix one more error as described here.
